Complete Financial Reporting - including budgets vs. actuals for the current month and year to date periods, delinquencies, payables, reserves status, bank balances and bank statements.
Budget preparation - Draft a new annual budget 90 days prior to the end of each fiscal year based upon actual expenses incurred, upcoming projects, long range planning needs and reserve study requirements.
Expense analysis - A comprehensive analysis of your communities expenses as compared with other nearby private communities and nationwide which takes into consideration similar size, type and age of those communities.
Abstract - We summarize all of the important and most commonly needed provisions of the master deed and by laws and provide that summary to all Board Members and Homeowners.
Meetings - We will attend all Board meetings and Committee meetings.
Rules & Regulations - we will assist the Board with the creation and reasonable enforcement of all rules and regulations. We have been specially trained in mediation techniques by the Community Associations Institute and can help to set up an Alternative Dispute Resolution Committee.
Monthly Meeting Package - Includes all financial reports, minutes from the previous meeting, agenda, correspondence, current bids with analysis, current inspection reports, maintenance, repair and telephone log (corrective action request system)
Inspections - We provide frequent on site inspections with written reports provided to the Board within 5 days of the inspection.
Specifications - create and administer specifications for all necessary maintenance and repair services and competitively bid those services.
Pre-qualify contractors - We check references and verify insurance coverage before contracts are awarded.
Supervision - We will supervise all contractors doing work on the premises.
professional Proposals - we will obtain proposals from other professionals such as attorneys, auditors, engineers and reserve specialists for the Associations needs.
24 Hour "Live" Emergency Service - Our emergency response system is manned by our own security personnel 24 hours a day and there are always 3 property managers on call. We guarantee a 1 hour response time.
Resident Welcome Package - We assist our clients in developing a welcome package that not only includes the standard information but also numerous telephone numbers and helpful hints to make their transition into the community comfortable and easy.
Newsletter - We assist our clients in developing and mailing a quarterly newsletter which includes the community annual calendar, letters from the Board, tips on safety, parking and some new products which may be useful to them.
