The short answer
To switch managers: review your current contract's termination clause, choose the new manager, give written notice, and set a transition date. The incoming manager then collects records, moves bank accounts and signatures, notifies vendors and owners, and sets up the resident portal. A well-run transition takes 30 to 60 days and causes no gap in service.
Before you give notice
- Read the termination clause: notice period, any fees, and required form of notice.
- Select the new manager and sign their contract with a start date matching the notice period.
- Confirm who holds bank accounts and how signatures will change.
What transfers
- Financial records: ledgers, bank statements, owner balances, budget, and audits
- Governing documents, minutes, rules, and resolutions
- Vendor contracts, insurance policies, and certificates
- Owner contact lists, unit files, and architectural approvals
- Open work orders, warranties, and ongoing projects
Owner communication
Owners need to know three things: who to call, how to pay, and when it changes. We send a welcome letter with portal instructions and new payment details before the first assessment under new management.
Common questions
Will there be a gap in maintenance during the switch?
No. Vendor contracts continue, and the incoming manager takes over request handling on the start date.
What if the old manager is slow to hand over records?
The records belong to the association. The board can make a formal written demand, and the incoming manager follows up item by item.
